Screencast: How to Include SmartDraw Diagrams in PowerPoint® Presentations and Word® Documents

Published 6 July 8 2:0 PM | Aaron Stannard

In this screencast I show you how to embed SmartDraw diagrams into Microsoft Word and PowerPoint; as usual, it's pretty easy to do this in SmartDraw. Leave your comments below!

This SmartDraw screencast requires plug-ins enabled and the latest Adobe Flash Player installed.

Excellent!

# Toni said on July 15, 2008 11:02 AM:

Still can't see the screen cast. All I see is a flashing FLV icon.

# Aaron Stannard said on July 15, 2008 11:24 AM:

If you can't see the screencast then you need to update your version of Flash player as it is out of date.

You can download the latest version of Flash from the following URL:

www.adobe.com/.../flashplayer

I'm the web site manager here at SmartDraw and we've recently improved the embedding code on these screencasts to include a javascript that checks for your version of Flash and should prompt you to download Flash if you don't have it or download the latest version of Flash if yours is out of date.

This has been tested on Firefox, IE 6 and IE 7. In order to improve how these screencasts are delivered it would be helpful for me to know what browsers (IE 6, IE 7, Firefox, Opera, etc) on what systems (XP, Windows 2000, Vista) and which Flash versions (6, 7, 8, or 9) people who have problems have running so we could continue to track down additional problems and improve the way we deliver the screencasts.

Some accompanying descriptive text would be useful. I presume there is a sound track, but being deaf as a stump, I can't hear it.

# Frances Dobson said on July 15, 2008 12:13 PM:

Can't hear it.  Audio too quiet.

# Bill Perry said on July 15, 2008 12:33 PM:

Makes SD more helpful & useful!  I forward these training emails to business associates who might neede SD in this type of application.

Excellent!  I immediately opened Word and PowerPoint just to see why I wasn't having that much success...  All of a sudden, I was!  Don't ask me why but this was great to see and hear.

PS:  Frances- Look for the picture of the "Speaker" in the lower right-hand corner of your screen to see if you can raise the volume level up!  If not - you need to raise the mixer level for your audio.

Helpful and useful. Using Powerpoint at work and now will be able to embed SmartDraw, especially for mediation and trial exhibits. These screencasts are great. Look forward to more. Thanks.

When I open Smart Draw the Word, Excel and Powerpoint icons are greyed out?

# Per Stromhaug said on July 16, 2008 12:29 AM:

Demo is not functioning - only some flashing on screen

# Adri Grobler said on July 16, 2008 1:00 AM:

Smartdraw is probably the easiest and most versatile and professional program on the market. Integration into other formats such as Word or Ppt is really seamless.

# Beverley said on July 16, 2008 5:54 AM:

Very helpful and informative

# cam macneil said on July 16, 2008 7:15 AM:

unable to view - keeps flashing

# Laurie Tapozada said on July 16, 2008 7:30 AM:

Every time I put a smartdraw diagram into a powerpoint, I lose resolution and sometimes some formatting. what gives? This is a big deterrent to creating someting in smart draw.

# mitch said on July 16, 2008 7:36 AM:

Onl flashning does not play.

# Ajit said on July 16, 2008 7:38 AM:

Hi Sorry but only flashes , as Lyn Orstad says.

I am running a Vista Client

# cust56 said on July 16, 2008 8:07 AM:

Very poor audio. i have my speakers turned ALL the way up. please repair audio.

# JKMUELLER said on July 16, 2008 8:10 AM:

Only flash visible

# Aaron Stannard said on July 16, 2008 9:38 AM:

The audio's my fault - I recorded this screencast on a different setup than usual so I guess the audio wasn't as good as it should've been.

For those of you who are having trouble seeing the video, please upgrade your version of Flash. If you don't have the latest version you won't be able to see it.

You can upgrade your version of Flash here: www.adobe.com/.../flashplayer

@Laurie Tapozada,

What version of PowerPoint are you using and what do you mean by resolution? Older versions of PowerPoint (versions older than 2000) don't function correctly with the type of media embedding that SmartDraw uses and we don't support the old way of embedding.

If you're talking about the size of the SmartDraw drawing in PowerPoint then I have an answer for you.

If your PPT slides are the default size, but you're inserting a large SmartDraw drawing (i.e. 3 pages by 3 pages) then it would seem like you are losing some resolution when in fact the image is scaled to fit on the slide. PowerPoint automatically scales the SmartDraw drawings to fit, in other words.

If you're experiencing issues beyond what I've described then please send an email which includes your PowerPoint file and your SmartDraw file to support@smartdraw.com.

@Colleen,

What version of PowerPoint are you using? If you're using a version older than PPT 2000 then the buttons will not work from SmartDraw and thus they will be greyed out.

Otherwise, the buttons are greyed out because Office is not installed or because Office’s registry keys are not properly entered on your system (uninstalling Office and reinstalling should fix this).
